New asset mode migration guide

Use this guide to prepare for the new asset mode in Hornbill before the mandatory switchover on July 27, 2026.

This document explains the user interface changes and provides step-by-step instructions to help you transition your team smoothly.

Transitioning to the new assets mode

Before the mandatory switchover, Hornbill administrators can enable the new interface for specific user groups. This allows your team to explore the new functionality at their own pace.

Because the new view does not preserve certain items, specifically filters and asset lists, please review the rest of this document with your team. Understanding these changes now will help you feel fully prepared for a successful transition.

Enable the new assets preview

Before you begin Verify that you have the Asset Management Admin role assigned to your account.

Steps

  1. Navigate to Configuration > Service Manager > Application Settings.
  2. Select the Include Advanced Settings checkbox.
  3. Locate the setting guest.app.experimental.enableAssetManagementPreview. Set this value to true to enable the preview for Asset Managers.
  4. Locate the setting guest.app.experimental.enableNewAssetManagementUIForAssetUsers. Set this value to true to enable the new mode for all asset users.

Note

Asset Managers can manually revert to the legacy mode if you only enable the first setting. However, once the second setting is active, users cannot revert to the legacy assets mode.

Assign the asset read-only right

The new mode includes a read-only right. This allows users to view assets and their details without making any changes. You can use this to improve your asset management governance.

Follow these steps to create a custom role with the view-only right and assign it to users.

Before you begin Confirm that you have the Admin Role platform permission. This allows you to create and assign roles.

Steps

  1. Navigate to Configuration > Service Manager > Roles.
  2. Select Create New Role.
  3. Complete the following fields in the dialog window:
    • Role ID: Enter a unique identifier, such as View-only assets.
    • Role Template: Select Security.
    • Privilege level: Select User.
    • Description: Enter a brief description of the role (optional).
  4. Select Create. The system directs you to the role settings page.
  5. Open the Application Rights tab.
  6. Select the Asset Management field and choose View Asset Management from the list.
  7. Select Save Changes.
  8. Select the Assigned Users tab and select Add Users to grant the role to your team members.

Expected Result Users assigned to this role can view all asset fields but cannot edit them.

Navigate the new assets UI

The new interface changes how you find and organize your data. Review these updates to determine how to configure the layouts.

The dashboard landing page

The Dashboard is now the default landing page instead of All Assets.

  • Left-hand menu: This displays all enabled asset types. These are labeled as Uncategorized until you assign them to a category [1].
  • Main panel: This displays cards for asset types that have assets associated with them. You cannot edit these cards [2].

We recommend that you delete unused asset types to remove them from the left-hand menu.

Asset categories

Asset types are now organized by categories.

Categories allow you to group multiple types regardless of their Asset Class. For example, you can create a category named “Mobile Office” and add both “Laptop” and “Mobile Phone” types to it.

To view all assets in a specific class, you must create and save a custom View.

Create new filters and lists

Your legacy asset filters and views will not migrate to the new mode.

You can create new Views from the following locations:

  • All Assets page.
  • Assets Under Warranty page.
  • Specific Category or Type pages.

The location where you create a view dictates the initial conditions for a filter. For example, if you have the Chip and Pin Reader type selected in the Computed Devices category, a new view will only contain assets in this type, as shown here:

Bookmark persistence

Some bookmarks will change behavior due to the layout updates:

  • Type, Asset, and All Assets bookmarks: These remain the same.
  • Class bookmarks: These are no longer supported because the Class page has been removed. These bookmarks will now open the All Assets page.

Note: We recommend deleting your old Class bookmarks and creating new ones for your new Categories.

Set a home view

Your previous homepage setting will not migrate. You can set any of the following as your new home view:

  • Dashboard
  • Category or Type pages
  • Assets under warranty
  • Any custom View

Steps

  1. Navigate to your preferred page or view.
  2. Select the arrow next to the Home icon.
  3. Select Set current view as my Home.

Archived asset visibility

To show and hide archived assets, follow these steps. Steps

  1. Navigate to the left-hand panel.
  2. Select the Eye icon to show and hide archived categories, types, and assets.

Review and build your asset structure

You must organize your asset types into the new category structure. Follow these steps to build an efficient system:

  1. Evaluate your types: Decide if any old types should be retired or split into new, more specific types.
  2. Group types into categories: Think about how your users search for items. Group related types together to make navigation easier.
  3. Configure your updates in Service Manager Configuration: Create your categories and move your types into them. Then review and configure the type fields.

  1. Navigate to Service Manager > Configuration > Manage Types.
  2. Select + next to Asset Categories [1] to create a new category.
  3. Select a category and select the + icon that appears next to it [2] to create a new type.

Note

When creating a new type, you’ll need to associate it with an Asset Class. Each class has its own class-specific fields. In addition to these, you can add common fields to the type.

Configure asset fields

You can customize which fields appear when viewing, creating, or listing assets.

Steps

  1. Navigate to Service Manager > Configuration > Manage Types.
  2. Select a specific Type from the left-hand menu.
  3. Select one of the following tabs:
    • Summary Fields: Fields shown on the main asset summary tab.
    • Details Fields: Fields shown on the asset details tab.
    • Create Fields: Fields a user can edit when adding a new asset.
    • List Fields: Fields available as columns in the asset list views.
  4. Select + Common field to add fields used by all assets.
  5. Select + [Asset Class] field to add fields specific to that class of asset.
