Add a checklist to a human task

Learn how to add to-do items in a checklist for a task. This can be useful in workflows that include Human Task nodes, because checklists help your team guide its work and track progress of manual to-do items. You can prevent the completion of the human task while one or more checklist items remain unfinished.

Before you begin

  • Role(s) required:

    To do this You need this role
    Publish workflow configuration changes Admin Role or  Business Process Manager

    NOTE: These roles are assigned in Platform Configuration.
  • Make sure your human task is configured and that it displays as required before adding a checklist.

Introduction

You add a checklist to a human task in its configuration.

To add a checklist to a human task:

  1. Navigate to Configuration > Service Manager > Workflows.
  2. Double-click the Human Task node to which you want to add a checklist.
  3. In the task configuration, in the Task Options section, click Manage Checklist and then Add Group.
  4. Give the checklist group a name.
  5. Click the + button to add one or more checklist items.
  6. (Optional) Use the arrows to re-order the checklist items in the checklist group.
  7. (Optional) To remove checklist items or the checklist group, click Delete (the trash can icon).
  8. (Optional) Use Add Group to add subsequent checklist groups to the same task.
  9. (Optional) Use the arrows to re-order the checklist groups on the task.
  10. When finished, click Apply to add the checklist items or groups to the task.

To edit or delete checklists:

  1. Click Manage Checklist to edit or delete the checklists associated to the task.

About the task-progress percentage

When a user marks a checklist item as complete on a task, the % progression through the checklist items will be indicated on the task.

To prevent the completion of the task while one or more outstanding checklist items remain:

  1. In the Task Options section, select Do not allow completion unless checklist is 100% complete.

Best practices

  • If you have numerous checklist items, you may find it useful to add multiple Human Task nodes in sequence and divide the checklist items among them. Keep in mind, however, that this could lengthen the duration of the workflow.

  • Try to make each checklist item:

    • Clear: Avoid vague wording.
    • Actionable: Phrase items as actions. For example, “Verify server is powered on” instead of “Server status”.
    • Specific: Reduce ambiguity for task owners.
  • Limit the number of to-do items. Avoid overwhelming users. Focus on critical steps that truly ensure task completeness.
